How to keep work and personal tasks apart on a Mac

In TodoCity, pick a mode from the switch at the top of the sidebar. In Work, Today, the calendar, the menu bar and notifications show only your work projects; Personal shows everything. Each Mac remembers its own mode — Work on the work laptop, Personal at home — while the tasks stay the same on both.

Updated

Set up your modes

  1. Open Settings → Modes. Work and Personal are there already. Add your own (say, Study) with + New mode.
  2. Tick the projects each mode shows. Also choose whether tasks with no project show, whether new projects join automatically, and which calendars appear.
  3. Choose where new tasks go. In Work, tasks you capture with no project can go straight into a work project.
  4. Switch. Use the switch at the top of the sidebar, or ⌃⌥1, ⌃⌥2… (⌃⌥0 shows everything).

What a mode changes

  • Today, Calendar, Anytime and the menu bar show only the mode's projects. Everything else is a click away (“4 more today outside Work · Show”).
  • Notifications can follow the mode, so personal reminders wait until you're home.
  • Nothing is hidden for good and nothing moves: tasks stay the same on every Mac.

Keep a project off your work Mac entirely

If your Macs sync, you can also keep any project on one Mac only (Settings → Your other Macs → Keep on this Mac only) — say, a personal project that should never be on your work laptop.
